Damage & Replacement Policy

This Damage & Replacement Policy explains client responsibility for damage, loss, theft, misuse, missing parts, excessive cleaning, repair costs and replacement costs relating to SARUN Group rental items, event items, equipment, décor, props, furniture, installations and accessories.

By booking, receiving, using, collecting or allowing guests to use SARUN rental items, you agree to this policy, SARUN’s Terms & Conditions, SARUN’s Rental Policy and any additional written instructions provided for your booking.

1. Client Responsibility

The client is responsible for SARUN rental items from the time they are delivered, set up, handed over or collected by the client until they are returned to SARUN or collected by SARUN.

This responsibility includes protecting rental items from damage, misuse, loss, theft, unsafe use, weather exposure, unauthorised movement, excessive dirt and guest-related damage.

2. Rental Items Must Be Returned in Good Condition

Rental items must be returned or made available for collection in the same general condition in which they were provided, allowing for reasonable and normal use.

Normal use does not include stains, punctures, breakage, missing pieces, excessive dirt, water damage, structural damage, burns, tears, permanent marks, odours, paint, glue, adhesive residue or damage caused by improper handling.

3. Inspection Before and After Use

SARUN may inspect rental items before delivery, during setup, after use, during collection and after return.

SARUN may take photos or videos of rental items before and after use to document condition, setup, damage, missing items, cleaning needs or client-related issues.

4. Types of Damage

Damage may include, but is not limited to:

  • Punctures, tears, cuts, holes or scratches.
  • Broken parts, cracked pieces, bent frames or damaged structures.
  • Stains, spills, mud, paint, wax, gum, food, drink or makeup marks.
  • Water damage, mould, dampness or weather-related damage.
  • Burns, heat damage, smoke damage or candle damage.
  • Damage from sharp objects, shoes, pets, rough play or overcrowding.
  • Damage from tape, glue, hooks, pins, staples, wire, adhesives or decorations.
  • Missing parts, missing accessories, missing packaging or incomplete returns.
  • Damage caused by moving, dismantling, altering or storing items without approval.
  • Damage caused by guests, children, vendors, decorators, venue staff or third parties during the booking period.

5. Loss, Theft or Missing Items

The client may be responsible for rental items, parts, accessories, covers, cables, décor pieces, packaging, props or equipment that are lost, stolen, misplaced or not returned.

If an item or part is missing, SARUN may charge the client for replacement, sourcing, transport, shipping, labour or any other cost reasonably connected to replacing or recovering the item.

6. Excessive Cleaning

Clients are expected to use rental items respectfully and return or make them available for collection in reasonable condition.

Additional cleaning charges may apply for excessive dirt, mud, food, drink spills, gum, wax, glitter, confetti, paint, face paint, makeup, slime, sand, grass stains, odours, pet hair, bodily fluids or any other cleaning beyond normal use.

7. Prohibited Materials and Activities

Unless SARUN gives written approval, clients and guests must not use the following on or near SARUN rental items:

  • Sharp objects, scissors, knives, pins, staples or tools.
  • Paint, glue, tape, adhesive vinyl, hooks, nails, screws or permanent markers.
  • Glitter, confetti, slime, gum, wax, face paint or staining materials.
  • Open flames, candles, fireworks, sparklers, cigarettes, vaping devices or heat sources.
  • Food, drinks or messy items on delicate, soft, upholstered, inflatable or specialty rental pieces.
  • Pets or animals on rental items unless approved by SARUN.
  • Rough play, climbing, overcrowding or unsafe use where not permitted.

8. Third-Party Vendors, Decorators and Guests

The client is responsible for damage caused by guests, children, parents, guardians, event attendees, venue staff, decorators, planners, vendors, suppliers, entertainers or any other third party present during the rental period.

If another vendor or decorator will handle, style, attach items to, move or decorate SARUN rental items, the client must obtain SARUN’s approval in advance.

9. Decorations and Attachments

Some rental items may allow styling or decoration only with SARUN’s approval. Other items may not be decorated because of their material, structure, finish, value or safety requirements.

The client may be responsible for damage caused by balloons, florals, signs, wire, hooks, adhesives, tape, zip ties, paint, backdrop materials or any decoration attached to or placed on SARUN rental items.

10. Weather-Related Damage

The client must help protect rental items from unsafe weather, rain, flooding, mud, strong wind, excessive sun exposure, unstable ground or other outdoor risks.

If rental items are damaged because they were exposed to unsuitable weather, moved to an unsafe area, left uncovered, used contrary to instructions or kept outdoors when conditions were unsafe, the client may be responsible for repair, replacement, cleaning or recovery costs.

11. Unauthorised Movement or Handling

Clients must not move, dismantle, fold, deflate, unplug, relocate, pack away, alter or repair SARUN rental items unless SARUN gives permission.

Damage caused by unauthorised movement, incorrect handling, improper storage, forced dismantling or attempted repair may be charged to the client.

12. Reporting Damage or Issues

The client must notify SARUN as soon as possible if a rental item is damaged, lost, stolen, unsafe, malfunctioning, wet, dirty, moved, misused or affected by an incident.

Prompt reporting helps SARUN assess the issue, reduce further damage and determine whether the item can continue to be used safely.

13. Repair Costs

If an item can be repaired, the client may be charged for reasonable repair costs, labour, materials, transport, specialist repair, cleaning, inspection and any other cost connected to restoring the item.

SARUN may choose the repair method, repair provider or replacement option based on the item type, damage, availability, safety, appearance and future rental use.

14. Replacement Costs

If an item is lost, stolen, destroyed, unsafe, permanently damaged, no longer presentable, no longer functional or not reasonably repairable, the client may be charged the replacement cost.

Replacement cost may include the cost of the item, shipping, duties, taxes, sourcing, transport, accessories, packaging, labour and any other cost needed to replace the item or return SARUN to a similar rental position.

15. Loss of Rental Use

If damage, loss, late return or missing parts prevent SARUN from using an item for another booking, SARUN may charge the client for loss of rental use, cancelled replacement bookings, emergency sourcing or related operational costs where applicable.

16. Damage Charges and Payment

SARUN may notify the client of damage, missing items, cleaning charges, repair costs or replacement costs after inspection.

Payment may be required within the timeframe stated by SARUN. Unpaid damage, cleaning or replacement charges may affect the client’s ability to make future bookings with SARUN.

17. Security Deposits

SARUN may require a security deposit for certain rental items, bookings, packages or high-value setups. A security deposit may be held to cover possible damage, loss, cleaning, late return, missing parts or policy breaches.

Where a security deposit applies, SARUN may deduct approved charges from the deposit and return any remaining balance according to the terms provided for the booking.

18. Disputing a Damage Charge

If the client disagrees with a damage, cleaning, repair or replacement charge, the client should contact SARUN promptly and provide any relevant information, photos, videos or explanation.

SARUN will review the information reasonably, but SARUN may rely on inspection records, photos, videos, staff reports, item condition records and booking details when making a decision.

19. SARUN’s Right to Refuse Future Rentals

SARUN may refuse future bookings, rentals, delivery, setup, partner access or platform access where a client has caused damage, failed to pay damage charges, repeatedly returned items late, misused rental items or breached SARUN policies.

20. Client Responsibility for Safety

Clients must follow SARUN’s safety instructions and ensure that guests, children, vendors and other users treat rental items carefully. Damage caused by unsafe use, rough handling or failure to supervise may be charged to the client.

21. Changes to This Policy

SARUN may update this Damage & Replacement Policy from time to time as rental items, services, pricing, repair options, safety requirements and business operations develop.

The updated version will be posted on this page with the latest “Last updated” date.
