This Delivery, Setup & Collection Policy explains the general requirements for delivering, setting up, accessing, using and collecting SARUN Group rental items, event items, installations, equipment, décor, furniture and related services.
By booking a rental, event setup, delivery service, installation or related SARUN service, you agree to this policy, SARUN’s Terms & Conditions, SARUN’s Rental Policy and any additional written instructions provided for your booking.
Delivery, setup and collection are subject to availability, location, item type, staffing, transport, event timing, access conditions, weather, safety requirements and SARUN’s service capacity.
Some items may require SARUN delivery, setup and collection because of their size, value, fragility, safety requirements or technical setup needs. Other items may be eligible for client pickup and return only if approved by SARUN.
Delivery, setup and collection fees may be included in a package or charged separately depending on the rental item, location, distance, timing, setup complexity, staffing, parking, access and collection requirements.
Additional charges may apply for difficult access, long carry distances, stairs, restricted parking, remote locations, late-night collection, early-morning setup, waiting time, repeated delivery attempts or changes requested by the client.
The client is responsible for ensuring that the delivery and setup location is ready before SARUN arrives.
Before delivery, the client must provide:
The client must ensure that SARUN has safe and timely access to the delivery, setup and collection location.
SARUN is not responsible for delays, reduced setup time, missed delivery, missed collection or service interruption caused by locked gates, unavailable contacts, incorrect directions, denied access, restricted venue hours, blocked roads, unavailable parking or unclear instructions.
The setup area must be clean, clear, safe, accessible and suitable for the rental item or service. The client must remove furniture, debris, sharp objects, rubbish, water, mud, animal waste, hazards, fragile items or anything that may interfere with setup.
SARUN may refuse, delay, relocate or adjust setup if the area is unsafe, too small, unsuitable, wet, uneven, unstable, exposed to unsafe weather, blocked, dirty or not ready on arrival.
Some rental items require specific space, height, clearance, ventilation, anchoring area, safety distance or walkway access. SARUN may request measurements, photos or videos before confirming a setup.
If the client provides inaccurate measurements or the setup area is smaller than stated, SARUN may not be able to complete the setup as originally planned. Refunds may not be available where setup cannot proceed because of inaccurate client-provided information.
Outdoor and indoor setup may depend on the surface type. Grass, concrete, tile, decking, sand, gravel, uneven ground, slopes or wet areas may affect whether an item can be safely installed.
The client must notify SARUN in advance of the surface type. SARUN may require additional equipment, anchoring, mats, protective covering or an alternative setup location depending on the item and surface.
Some rentals, inflatables, lighting, displays, machines, fans, generators or installations may require a suitable power source.
Unless SARUN has agreed to provide a generator or power solution, the client is responsible for ensuring that a safe and reliable power supply is available at the setup location.
SARUN is not responsible for interrupted use caused by insufficient power, unsafe outlets, power outages, unavailable extension access, venue restrictions or incorrect power information provided by the client.
The client is responsible for obtaining any permission required from the venue, property owner, landlord, community, event organiser or relevant authority before SARUN arrives.
SARUN is not responsible if a venue refuses entry, limits setup time, prohibits certain items, denies power access, restricts parking, changes access rules or prevents the booking from proceeding.
SARUN will aim to deliver and set up at the agreed time or within the agreed delivery window. Timing may depend on route planning, traffic, weather, previous bookings, staffing, loading requirements and venue access.
Clients must be available or must arrange for an authorised person to be present during delivery and setup unless SARUN agrees otherwise.
If SARUN is delayed because the client, venue or authorised contact is unavailable, the location is not ready, access is restricted, parking is unavailable, the setup area is blocked, or required information is missing, additional fees may apply.
Delays may also reduce the time available for setup or rental use. SARUN is not responsible for reduced rental time caused by client-related or venue-related delays.
Last-minute changes to the setup location, item placement, timing, access, power source or event layout may not always be possible.
SARUN may approve, adjust or refuse changes based on safety, timing, staffing, equipment, weather, venue rules and item suitability. Additional charges may apply for approved changes.
Client pickup and self-return may be available for selected rental items only with SARUN’s approval.
Where client pickup is approved, the client is responsible for safely transporting, handling, protecting, using and returning the items on time and in good condition.
SARUN may refuse client pickup for items that are fragile, heavy, high-value, complex, safety-sensitive, difficult to install or unsuitable for self-transport.
Rental items must be ready for collection at the agreed collection time. The client or authorised contact must ensure that SARUN can safely access the items.
Items should not be moved, dismantled, packed, altered or stored by the client unless SARUN has given permission.
If SARUN cannot collect items at the agreed time because of restricted access, locked locations, unavailable contacts, venue closure, late event ending or other client-related issues, additional charges may apply.
The client may remain responsible for the items until SARUN is able to collect them.
Rental items should be returned or made available for collection in reasonable condition. The client should remove personal belongings, rubbish, loose decorations and event materials from around the rental items before collection.
Items that are excessively dirty, stained, wet, damaged, missing parts, unsafe to transport or not ready for collection may result in additional cleaning, repair, labour, waiting, transport or replacement charges.
Weather may affect delivery, setup, outdoor use and collection. SARUN may delay, adjust, relocate, postpone or refuse setup where rain, strong wind, unsafe ground, flooding, lightning or other weather conditions create a safety or damage risk.
Clients booking outdoor setups should have a suitable backup plan. More detailed terms may be included in SARUN’s Weather & Outdoor Use Policy.
The client is responsible for rental items from the time they are delivered, set up, handed over or collected by the client until they are returned to SARUN or collected by SARUN.
The client may be responsible for damage, loss, theft, misuse, excessive cleaning, missing parts or replacement costs during this period. More detailed terms may be included in SARUN’s Damage & Replacement Policy.
Clients and guests must keep a safe distance from SARUN staff, attendants, equipment, vehicles, tools, inflatables, electrical items and installations during delivery, setup and collection.
Children and pets must be supervised and kept away from work areas during setup and collection.
SARUN may refuse, delay, relocate or stop delivery or setup if:
Refunds may not be available where delivery or setup is refused because of client-provided conditions, lack of access, unsafe location, missing permission, non-payment or failure to follow policy.
SARUN may update this Delivery, Setup & Collection Policy from time to time as rental items, services, routes, safety requirements and business operations develop.
The updated version will be posted on this page with the latest “Last updated” date.
